Quality Control Points (QCPs) are automated triggers used to generate Quality Checks at specific stages of an operational process such as manufacturing, inventory transfers, or product receipts. QCPs help ensure that products are regularly inspected for quality defects, reducing the risk of defective items moving downstream.

To use QCPs, the system requires:

  • Inventory Management module (version 1.5.1 or later) —  Required
  • or Manufacturing module (version 1.1.0 or later) —  Optional

Create New Quality Control Points

  • Step 1. Go to Quality module → Control Points Click “New” to create a new QCP
  • Step 2. In the Add Control Point, fill in the following detail:
    • Control Point Number: Automatically generated using the prefix defined in the system settings. You may manually override the number if needed.
    • Name: Enter the name of the Quality Control Point.
    • Item: Select the specific product that the QCP applies to. If left blank, the QCP can apply to all products under the selected operation.
    • Operation: This defines when the Quality Check will be automatically triggered. Available options:
      • Receipts:Triggered by Inventory Receiving Voucher (from Inventory module).
      • Internal Transfers:Triggered by Internal Delivery Voucher (from Inventory module).
      • Delivery Orders: Triggered by Inventory Delivery Voucher (from Inventory module).
      • Manufacturing:Triggered by Operations/Work Orders (from Manufacturing module).When Manufacturing is selected, a new field titled Work Order will appear. Tip: If a product is selected, the Work Order field will show only operations linked to that product. To display related work orders: 1. Create a Routing and Operation in the Manufacturing module. 2. Create a Bill of Materials (BoM) for the product and assign the Routing. 3. Select the product in the QCP, and the system will automatically display the associated operations. If no product is selected, all available operations across products will be shown. Example: Create a QCP for the operation "Robot Assembly". When a new Work Order for Robot X is confirmed, the QCP will automatically generate a quality check for the "Assembly" step.
    • Team: Assign a Quality Control Team responsible for managing the QCP and the quality checks it generates. Team list is configured under Settings → Teams.
    • Responsible: Select an individual user accountable for this QCP.
    • Control per: There are three options that determine when a quality check is generated:
      • Operation: One quality check per operation (e.g., one per Receipt, Transfer, or Work Order).
      • Product: One check for each distinct product involved in the operation. Example: Suppose create a QCP for operation is Receipt. If a Receipt includes 1 dining table and 4 chairs, two checks will be generated—one for the table, one for the chairs.
      • Quantity: The system allows you to request a quality check for a specific percentage of items involved in the selected operation. To enable this, check the Partial Transfer Test checkbox. Once enabled, a field labeled Percentage (% of products) will appear. Enter the percentage of the product quantity you want to inspect. Example:If you enter 50 in the Percentage (% of products) field and receive 1 dining table and 4 dining chairs, the system will generate two separate quality checks: - The first quality check will be for the dining table. Since there is only 1 unit, it will be fully checked. - The second quality check will be for the dining chairs, and 2 out of 4 chairs (i.e., 50%) will be selected for inspection. ⚠️ If the Partial Transfer Test box is not checked, a quality check will be generated for the entire quantity of the product. When the Control per option is set to Quantity, an additional field labeled Failure Location will appear. The Failure Location specifies the internal warehouse or stock location where failed items (which do not pass the quality check generated by this QCP) should be sent for further handling, such as inspection, rework, or scrapping.The list of available locations in this field is retrieved from the Warehouse menu in the Inventory module.
    • Control Frequency: Defines how often a quality check is created. Available options:
      • All: A quality check is created every time the operation meets QCP conditions.
      • Randomly: Checks are created at random for a defined percentage of operations. Set this using the Every % of Transfers field. Example: If set to 20%, the system will generate quality checks for 20 out of every 100 transfers, chosen randomly.
      • Periodically: Checks are created once per defined time interval. Specify the interval in the Every field and choose Day(s), Week(s), or Month(s). Example: Every 2 Weeks = one check every 2 weeks.
    • Type: Specify the type of quality check to be performed. The way the system handles each quality check generated by the QCP depends on the selected check type. The following default quality check types are available:
      • Instructions: Provides detailed instructions for staff on how to perform the quality check.
      • Take a Picture: Requires the operator to attach a photo of the product for the quality team to review later
      • Register Consumed Materials: Allows the operator to log materials that were consumed during the process.
      • Register Production: Requires the operator to record the quantity of finished products, including serial or lot numbers.
      • Pass Fail: Simple evaluation to confirm if a product passes. If selected, the “Message If Failure” field will appear, allowing you to define guidance for failed results.
      • Measure: Requires the operator to take and record a measurement. The result must fall within an acceptable range for the check to pass. Selecting this type will display the following additional fields: Type of Unit of Measurement, Norm, Unit of Measurement, Tolerance From, Tolerance To, and Message If Failure.
        • Type of Unit of Measurement: Select from predefined unit types
        • Norm: Target (standard) value
        • Unit of Measurement: enter the appropriate unit name, e.g., mm, kg.
        • Tolerance From / To: Define the minimum and maximum acceptable measurement range
        • Message If Failure: Message shown if the measurement is out of tolerance
      • Instructions: Enter detailed step-by-step instructions on how the quality check should be performed. These instructions are displayed to the staff responsible for executing the check.
      • Message If Failure: Define the message that will be shown if the quality check fails. For example, entering “Create a Quality Alert” will instruct the staff on the next step to take in the event of failure. This ensures a clear and immediate response to non-compliance. This field is only displayed when the Type is set to either Pass Fail or Measure.
      • Note: Use this field to provide internal notes or background context about the QCP (e.g., why it was created). The content in this field is not visible to staff performing the quality checks.
      • Attachment: Upload relevant supporting documents, such as work instructions, checklists, or diagrams, that guide the execution of the quality checks generated by this QCP.
    • Step 3. Once configured, click Save. The QCP is now active, and quality checks will be generated automatically according to the rules you have defined.
